Deputy Archive & History (A&H) Manager

Role and Responsibility Document

ROLE:

Jet Age Museum (JAM) engages with people in Gloucestershire and beyond to foster and inspire interest in the aviation history of the County, from the earliest days of flight through the birth of the Jet Age to the modern aerospace industry of today. The role of the Deputy Archive and History (A&H) Manager is to support the A&H Manger to:

a)      Deliver the approved programme of history and archive activities as set out in the museum’s Forward Plan.

b)     Ensure that existing archive and history records in the Collection are maintained according to the standards set out by the museum’s Arts Council England accreditation guidance and using current best practices.

c)      Co-ordinate activities of A&H Volunteers to ensure appropriate use of resources.

d)     Manage the JAM archive and MODES data base to ensure security and agreed accessibility.

e)     Liaise with the Collection and Display (C&D) Manager.

RESPONSIBILITIES:

The Deputy A&H Manager will support the A&H Manager to undertake their Roles and Responsibilities – in doing so, they may be allocated specific responsibilities:

1.      Programme and Project Management – Support the A&H Manager to:

a)      Plan, implement and manage the overall A&H Programme.

b)     Delegate Project Management of specific tasks and projects to the Project Teams/Volunteers.


2.      Specific Tasks and Projects – Support the A&H Manager to:

a)      Monitor and support requirements, activities and delivery.

b)     Manage Volunteer training, facilities and guidance on A&H activity.


3.      Archive and MODES Data Base – Support the A&H Manager to:

a)      Maintain and secure all documentation and other allocated artefacts in the Archive.

b)     Log and maintain and secure all Collection records in the MODES Data Base.

c)      Manage Donations and Loans.

d)     Manage approved accessibility.

e)     Produce and maintain operating procedures.

f)       Produce and maintain notes for training.


4.      History – Support the A&H Manager to:

a)      Prepare and maintain records of Gloucestershire aviation history.

b)     Prepare and maintain historical dossier for each main Collection artefact.

c)      Audit data being provided external to the Museum (e.g. through the website) for historical accuracy.


5.      Communications & Reporting – Support the A&H Manager to:

a)      Maintain close cooperation with the C&D Manager.

b)     Convene A&H meetings as required for the effective communication of ongoing issues and forward plans at the Museum.


6.      Budgets – Support the A&H Manager to:

a)      Develop an annual budget estimate and manage the A&H budget as delegated by the Trustees.



7.      Recruitment – Support the A&H Manager to:

a)      Identify future manpower needs and produce role descriptions.

b)     Liaise with the Volunteer Co-ordination Team regarding recruitment, interview and induction requirements.


8.      Policy Guidance – Support the A&H Manager to:

Ensure A&H volunteers are familiar with relevant guidance in the Museum’s:

a)      Conservation and Restoration Policy.

b)     Collections Development policy.

c)      Documentation policy, plan and procedures.

d)     Care and Conservation policy and plan.

e)     Donations and Loans Process.

SKILLS/INTERESTS NEEDED:

The holder of this role should:

a)      Have a deep interest in Gloucestershire and overall aviation history.

b)     Be competent in data and record management (including time, cost and quality aspects).

c)      Be capable of managing Volunteers.

d)     Be able to work as part of a Management team to deliver Charity objectives.

 TRAINING OFFERED:

 Training will be provided to understand GAC Charity objectives, the way JAM operates and the specific policies and procedures applicable to A&H..

TIME COMMITMENT SUGGESTED:

Required time commitment is a 5 - 10 hrs per week, mainly operating remotely.

Location: Jet Age Museum is at Meteor Business Park, off Cheltenham Road East (the B4063), on the north side of Gloucestershire Airport. Look for the traffic lights between the large white Safran building and the Ontic building. Turn off the main road into Meteor Business Park at the lights and the Museum’s blue gates will be on your right. The address is: Meteor Business Park, Cheltenham Road East, Gloucester GL2 9QL. If using the What Three Words app, the square just in front of the main Jet Age Museum gates is shift.secretly.influence There is no pedestrian or vehicle access to the Museum from the Airport. If using a Satellite Navigation System and postcode, please note that this will take you to the eastern entrance of Meteor Business Park from where you will need to follow either the main road or the internal Business Park road westbound until you arrive at Jet Age Museum at the western end of the Business Park.
